Conas tionóntacht cóiríochta sonrach do mhic léinn (SSA) a chlárú

All providers of student specific accommodation (SSA) must register their tenancies with the RTB. You must register within one month of the tenancy start date and every year after this, on the anniversary of the tenancy start date.

Registration rules for SSA tenancies

SSA tenancies have different registration rules compared to other private tenancies. Key differences include:

  • Each individual room is considered a separate tenancy or license, even if there is more than one student in the room (for example twin rooms).
  • Each room in a unit must be registered.
  • The RTB online account system is not currently available for SSA providers.
  • You must complete and submit a Tenancy Data Sheet (TDS) for each SSA tenancy.

Completing the tenancy data sheet (TDS)

Once you have downloaded the TDS, open the file and complete each section. If you have more than one SSA development, complete one TDS for each development and return them separately. You cannot put multiple developments on the same TDS.

Composite fee (blue column)

In the ‘Composite’ column, select ‘yes’ for each property you think is eligible for a composite fee. Learn more about what a composite fee is.

Sections of the tenancy data sheet

Section 1: Development name and invoice information

  • Complete the development name, address, and invoice address.
  • Confirm who is completing the TDS (landlord, agent, or management company).
  • Tick the boxes to confirm the information provided is correct.

Extra information for agents or management companies

  • Provide the contact details (name, email, phone number) of the person completing the TDS.
  • Confirm you have the authority to act on behalf of the landlord.

Section 2: Landlord details

  • Select whether the landlord is a company or individual.
  • If the landlord is an individual, include the Personal Public Service Number (PPSN). If there are multiple landlords, include each PPSN.
  • If the landlord is an individual, include the registered CRO number.
  • Provide the landlord’s contact details (address, Eircode, phone number and email).

Section 3: Agent details

If an agent is involved, provide their details (name, company, PPSN or CRO number, contact information).

Section 4: Management company details

Include details of the management company involved with the property, if there is one.

Section 5: Address of rented property

  • For each room, enter the address in one Excel row.
  • Provide building name, block (if applicable), unit number and room number or letter (assign one if they don’t already have one).
  • County, Eircode and local authority details.

Section 6: Tenancy details

  • List the number of occupants in the room (for example 2 for a twin room).
  • Include the tenancy start date (DD/MM/YYYY).
  • Specify the rent payment frequency (monthly, semester, or term).
  • State the total rent for the room (not per tenant).
  • State the deposit amount and any advance rent paid.

Section 7: Tenant details

For each tenant, provide their name, PPSN (optional) and email address. If you don’t have the PPSN, mark an “X” to confirm you asked for it.

Problems accessing the TDS

Some sections of the TDS are locked. If you need to edit these details or have any problems accessing the Tenancy Data Sheet, email ssa@rtb.ie .

You have already completed a TDS

If you have a previously completed a Tenancy Data Sheet (TDS), email ssa@rtb.ie to get a personalised TDS.

How to return the tenancy data sheet

Before you send us your completed TDS, save it with a password.

  • Click on ‘Save as’
  • When the ‘Save as’ box opens, click on the  ‘Tools’ drop-down menu.
  • Select ‘General options’ and click the ‘Password to open’ option.
  • Enter your password details and save.

Once you are ready:

  1. Send the completed TDS by email to ssa@rtb.ie.
  2. Send the password in a separate email to ssa@rtb.ie.

When we get the tenancy data sheet

Our SSA team will confirm we have received your TDS. We will review the information, make sure it is accurate and calculate the registration fee.

We will issue you with an invoice and you have 30 days to pay. Late fees will be charged if you don’t pay within the 30 days.

If a tenant moves during the academic year

If a student moved out and a new tenant moves in during the academic year, you need to complete a new registration for the room.

Example

A tenant moves into Room 1 on 3 September and leaves on 3 April. A new tenant moves into Room 1 on 1 May. A new registration must be submitted within 1 month of the new tenant’s start date.

Fees

If the new registration is submitted within 12 months of the last one, you won’t have to pay any fee for this second registration. For more details, visit our registration fees page.
